Logs & History
Overview
SARA maintains an Log trail of user actions and data changes across modules to ensure transparency, compliance, and accountability. Whether a requisition is approved, a timesheet is rejected, or a collaborator’s record is updated, the system captures details about the event (date/time, user, and a description of the change).
Audit Logs & History help administrators and auditors investigate past decisions, confirm compliance, and verify user activity throughout the platform.
Features & Functionalities
-
Event Recording
Whenever a user performs a significant action (e.g., creating, updating, or deleting a record), SARA stores the event with:- Date and time stamp
- User ID/name
- A brief description of the change (e.g., “Status changed from Pending to Approved”)
-
Object-Level History
Each module (e.g., Purchasing, Human Resources) maintains its own change log. Users with the right permissions can access these logs to see the chronological history of edits, approvals, or rejections. -
Data Consistency
For fields that support it, SARA may log old value and new value to provide a clear before-and-after snapshot of changes. -
Search & Filtering
Logs can be filtered by:- Date range
- Module or transaction type (e.g., Requisitions, Timesheets)
- User or collaborator
- Specific actions (e.g., create, update, delete)
-
Security & Compliance
The logs are stored securely and cannot be altered retroactively by standard users. Administrators can review or export them for compliance audits.
FAQs & Best Practices
Who can view the audit logs?
Depending on the module, only administrators or specific roles with “view logs” permissions can see the full history.
How long are logs retained?
Retention policies may vary based on your organization’s compliance rules. By default, SARA does not automatically purge logs unless configured to do so.
Can I roll back a record to a previous version?
Audit logs track changes for reference and transparency but do not provide a direct “restore” function. You can manually re-enter prior data if needed.
How do I see who approved a request?
Open the record in question (e.g., a purchase request) and view its Logs or History tab. The approving user and timestamp will be listed.
