Overview

The Rates & Salaries feature in SARA manages employee compensation details, including salary, rate (hourly or otherwise), per diems, and related information. By storing a history of all changes, the system supports payroll calculations, cost center reporting, and project expense tracking for collaborators.

Features & Functionalities

  • Salary & Rate Management

    • Create a new salary entry for a collaborator, including:
      • Base salary and salary type (gross or net).
      • Hourly rate and rate type (gross or net).
      • Frequency (weekly, biweekly, monthly).
      • Per diem allowances (local, non-local).
      • Company or cost center references.
    • Update existing salary records; older records become inactive once a new one is added.

  • History & Logs

    • View the history of salary changes for each collaborator.
    • Logs capture actions such as creating, editing, or deactivating a salary record, ensuring full traceability.

  • Collaboration with Other Modules

    • Payroll Calculations: The system relies on up-to-date salary data to calculate pay.
    • Project Costing: Accurate rate and salary information feed into project cost centers, allowing for consistent expense projections.

  • Deactivation & Inactivation

    • Previous entries become inactive when a new salary is assigned to a collaborator.
    • Administrators can see inactive records for reference, preserving historical data.

FAQs & Best Practices

Who can view or edit rates and salaries?
Users with “Rates & Salaries” permissions (usually HR or administrative roles) can access and modify salary data.

What if the new salary data is the same as the old one?
The system alerts you to prevent duplicate entries, but you can still confirm if intentional (e.g., adjusting effective dates).

How do I see past changes for a collaborator’s salary?
Use the History modal to view the date, company references, and amounts for each salary revision.

Are inactive salaries removed from the system?
No. They remain for reference and auditing, but are not used in new calculations.

Does SARA calculate payroll automatically?
SARA stores and displays salary data. It can integrate with Timesheets or other modules for partial payroll logic, but full payroll automation depends on your organization’s workflow.
