Notifications & Alerts

Overview

SARA sends automated notifications to keep users informed about events that require their attention — such as new records, status changes, approvals, rejections, and overdue items. Notifications are tied to permissions, so users only receive messages relevant to their role.


Notification channels

SARA currently supports two notification channels:

  • Email — Used for most workflow events, summaries, and alerts. Emails follow a standard template with a header, body, and footer.
  • WhatsApp — Used for time-sensitive operational events where immediate attention is needed, such as new work assignments, rejections, or urgent alerts.

The channel used for each event depends on the transaction and the nature of the notification. Some events trigger both channels simultaneously.


How notifications are triggered

Notifications are sent automatically when specific events occur in a workflow. Common triggers include:

  • A record is created and assigned to someone.
  • A record changes status (e.g., submitted for review, approved, rejected, completed).
  • A record is returned for changes with a rejection note.
  • An alert condition is detected (e.g., unmatched amounts, overdue items).
  • A periodic digest is generated (e.g., weekly summaries of open or overdue records).

Each transaction defines its own notification events. The specific triggers and recipients are documented in each feature's Workflow page.


Notifications and permissions

Who receives a notification is controlled by notification permissions — a specific category of permissions in SARA. A user must have the corresponding notification permission assigned to receive messages for that event.

For example, a user with the email project creation permission will receive an email when a quote is approved and a project is created. A user without that permission will not receive the notification, even if they have other permissions in the same transaction.

Note

Notification permissions are managed in the Control Panel alongside other permissions for each transaction. If you are not receiving expected notifications, check whether the relevant notification permission is assigned to your user.

Periodic digests

Some transactions send periodic notifications (typically weekly) that summarize activity over a time period. Digests may include:

  • New records generated since the last digest.
  • Records that are overdue or require attention.
  • Unresolved alerts or open items.

Digests are only sent when there is relevant content — SARA does not send empty digest notifications.


Notification logging

Notification events are recorded in the system logs, providing traceability for when a notification was sent, to whom, and for which event.

FAQs

Why am I not receiving notifications for a transaction? You likely need the corresponding notification permission assigned. Contact your supervisor or system administrator and specify which notifications you need.

Can I turn off notifications I don't want? Notification permissions are managed by your system administrator in the Control Panel. Contact them to adjust which notifications you receive.

How do I know if a notification was sent? Check the record's log or history. Notification events are recorded with timestamps and recipient information.
