Logs & History
Overview
SARA maintains a record of user actions and notes across transactions to ensure transparency, auditability, and traceability. Most transactions provide access to a Notes and logs panel where users can review the history of changes and add contextual notes to any record.
Standardization in progress
The Notes and logs panel is being standardized across all transactions. Some transactions already have the full panel (logs + notes), while others currently have only basic log entries. The target is for all transactions to support the full panel as described below.
The Notes and logs panel
The Notes and logs panel opens as a modal from within a record. It is divided into two sections side by side:
Logs (left side)
A chronological timeline of system-recorded events for the record. Each log entry shows:
- Timestamp — Date and time of the event.
- User — The user who performed the action (shown by initials or short code, with avatar).
- Action badge — A colored label indicating the type of action (e.g.,
Insert,Update,Technical closure,Financial closure). - Description — A brief system-generated message describing what happened (e.g., "The project has been updated", "The project c.1.1629 has been inserted").
Logs are automatic and system-generated — users do not create or edit log entries. They are recorded whenever a meaningful action occurs on the record (creation, edits, status changes, workflow actions).
Notes (right side)
A chronological list of user-written notes attached to the record. Each note shows:
- Timestamp — Date and time the note was created.
- Author — The user who wrote the note.
- Content — Free-text note body.
- Star — A star toggle that pins important notes to the top of the list, making them easier to find.
Users can add new notes at any time using the + Add Note button. Notes support file attachments in transactions where this feature is enabled.
Note
Notes are user-created content for context and communication — they are separate from the system-generated logs. Both exist on the same panel but serve different purposes.
What gets logged
SARA logs meaningful actions automatically. Common logged events include:
- Record creation — When a new record is inserted.
- Record updates — When fields are modified.
- Status changes — When a record transitions from one status to another (e.g., approval, rejection, closure, cancellation).
- Workflow actions — Specific business actions such as technical closure, financial closure, approval, or assignment changes.
Each log entry is immutable — it cannot be edited or deleted by any user after it is recorded.
Access and permissions
The Notes and logs panel is typically accessible to users who have at least view permission on the transaction. The ability to add notes may require edit or a specific permission depending on the transaction.
FAQs
Where do I find the logs for a record? Open the record and look for a Logs button or a Notes and logs option — usually accessible from the record's action menu or detail view. The exact location varies by transaction.
Can I search or filter logs? Currently, logs are displayed as a chronological timeline within each record. There is no cross-record log search at this time.
Can I delete a log entry? No. Log entries are system-generated and immutable. They cannot be modified or deleted.
Can I attach a file to a note? In transactions where this feature is enabled, yes. The + Add Note dialog will include a file attachment option.
How do I highlight an important note? Click the star icon on the note. Starred notes are pinned to the top of the notes list so they are visible first.
