Departments — Permissions

Overview

This page documents the permissions used in the Departments feature. Permissions determine which transactions a user can access and which actions are available within them.

Permissions by transaction

Permission Grants access to
view Access the Departments list at /departments. View all department records, open the "View collaborators" modal, and view department logs.
edit Create new departments, edit department name and manager, manage positions (add, rename, deactivate, activate), and deactivate or activate departments. Requires view.
Permission Grants access to
view Access Department Administration at /department-administration. Grants access to all actions within the hub: viewing department budget tabs, adding and editing budget line items, allocating budget amounts, submitting budget change requests, viewing POs per line item, and managing profiles (create, edit, assign collaborators, set budget item grants). Also grants access to the Activities and Extra Hours tabs.
Permission Grants access to
view Access Department Cost Center at /department-cost-center. Shows the budget summary panel and the SPOs, Refunds, and Timesheets panels for the selected department/year. Without see all, the department selector is limited to departments where the user is the assigned manager.
see all Expands the department selector to include all departments company-wide, regardless of manager assignment. Requires view.

Troubleshooting access

  • If the Departments list is not visible in the menu, the Departments — view permission is missing.
  • If the + New department, Edit department, Positions, and Deactivate/Activate actions are absent from the row action menu, the Departments — edit permission is missing. Note that View collaborators and Logs are available to all users with view.
  • If Department Administration is not visible in the menu, the Department administration — view permission is missing.
  • If Department Administration loads but a specific department's tab does not appear, no budget has been configured for that department and year in Budget Administration — this is a data issue, not a permissions issue.
  • If Department Cost Center is not visible in the menu, the Department cost center — view permission is missing.
  • If Department Cost Center loads but shows only one or a few departments in the selector (and others are expected), the Department cost center — see all permission is missing; without it, only departments where the user is the assigned manager are shown.
