Departments
Overview
The Departments feature manages organizational departments and their positions, along with each department’s assigned manager. It supports the creation, updating, and deactivation of departments and enables additional data points like departmental positions.
Features & Functionalities
-
Department Creation & Editing
- Add new departments by specifying a name and assigning a manager (an existing collaborator).
- Update departments to change their name or reassign the manager.
- Deactivate or reactivate a department to control availability.
-
Positions Within Departments
- Create positions (e.g., Supervisor, Coordinator).
- Edit or remove positions as organizational needs evolve.
- A position’s status (active or inactive) determines its visibility for other processes.
-
Collaborator Assignments
- Assign collaborators to positions, making it easier to identify who’s in each department.
-
Logs & History
- Every significant action—department creation, editing, status changes, and position updates—is recorded.
- Administrators or users with permissions can review these records to see who performed each action and when.
Note: For details on adjusting visible columns in department lists, see Common Features: Dynamic Table Configuration.
Status & Tracking
For detailed information about statuses, refer to the Status Documentation.
FAQs & Best Practices
Who can create or edit departments?
Only users with the relevant permissions (often administrative or HR roles).
What happens if I deactivate a department?
It is no longer available for new assignments, but existing references remain for audit or historical records.
Can a department have more than one manager?
Not by default. Each department is assigned a single manager. For co-management scenarios, create multiple positions within that department.
Where do department positions appear?
Any interface that references a collaborator’s role may display these positions, making it easier to identify responsibilities.
How can I see which collaborators belong to a department?
Use the View Collaborators function to list employees assigned to positions in that department.
