Quotes — Permissions
Overview
This page documents the permissions used in Sales-related transactions. Permissions determine which actions a user can perform (view, edit, approve, send, manage quote engine roles, etc.).
Note
Permission names are shown in SARA as labels (not necessarily technical codes).
If your screen is missing a tab/button, it is typically a permissions issue.
For general access concepts, see: Permissions & Access
Permissions by transaction
In Sales, Quotes and Quote Engine share a consolidated permission set. These permissions control access across both screens.
| Permission | Grants access to |
|---|---|
| view | View quotes list and quote details. |
| edit | Edit quote information and configuration while the quote is editable. |
| approve | Approve a quote when the customer PO (CPO) is received, triggering project creation (or budget increase for complementary quotes). |
| send mail | Send quotes to customers by email from SARA, generating versioned PDFs and updating the “Sent” information. |
| quotation engine responsible | Enter and maintain costs in Quote Engine for assigned nodes/budgets (technical owner role). |
| quotation engine administration | Administrative access to Quote Engine nodes/budgets and overall management functions. |
| quotation engine profit manager | Define and manage profit percentages applied to cost buckets. |
| email project creation | Receive email notifications when a quote is approved and a project is created (or updated for complementary quotes). |
| quote metrics | Access quote metrics/analytics views related to quoting metrics and performance. |
Typical role mapping (recommended)
Examples
The exact mapping depends on your organization. These are typical patterns:
-
Sales (Seller)
- view
- edit
- send mail
- approve
- quote metrics (optional)
-
Technical owner / Node owner
- view
- quotation engine responsible
-
Sales manager / Admin
- view
- edit
- approve (optional)
- quotation engine profit manager
- quotation engine administration
- quote metrics
-
Stakeholders who only need notifications
- email project creation
Troubleshooting access
- If you can open Quotes but cannot edit/send/approve, you likely have view only.
- If you cannot access Quote Engine cost entry, you likely need quotation engine responsible.
- If profit fields are missing, you likely need quotation engine profit manager.
- If you are not receiving approval/project emails, confirm email project creation is assigned.
